Participants earn rewards by completing incentivized activities in the app. These incentivized activities -- or achievements -- are defined on the participant's plan. You can find a list of the rewards a participant has earned in the Rewards tab of their profile. For more information on how to find a participant's rewards, check out this article.
In this article, we will go over how to fulfill the rewards that a participant has earned.
Manual Reward Fulfillment
After a participant earns a reward for completing an achievement, the study team will have the opportunity to fulfill the reward. Manual reward fulfillment means that the study team will award the participants their incentives outside of the app.
The console offers a way to keep track of whether or not this manual fulfillment took place. This is essentially how we keep track of whether the participant has received the reward they earned.
To review, there are three reward types: Points, US dollars, and Motivational. While points and motivational rewards must be fulfilled manually, US dollar rewards may be fulfilled manually or via PayPal. For more information about PayPal rewards, check out this article.
Step 1: Review Participant Rewards
To fulfill a reward manually, click on the Incentives tab from the left-hand navigation menu. Go to the Rewards section of the Incentives page.
At the top of the section, you will see a header with the following filters: Milestone, Reward Type, Reward, Earned Date, Fulfilment Type, and Status. You can use these filters to simplify and organize the list of rewards that the participants have earned.
You will also see two blue buttons with options for exporting the reward data. You can export the rewards earned by all participants in the current group or all the participants in all groups. For example, if you had intervention and control participants in two different child groups, you could export all of their reward data at once.
Beneath the header, you will see the full list of rewards earned by all of the participants. This section will resemble the Rewards tab of each participant's profile -- however, here you will see all of the participants' rewards together on one page.
Step 2: To Fulfill or Not Fulfill?
Again, with a manually fulfilled reward, the study team will give participants their points/US dollars outside of the app. However, they can keep track of whether or not the reward was manually fulfilled in the console.
On the right side of the screen, you will see a column titled Actions. Here, you will see buttons labeled Fulfill and Won't Fulfill.
Once you have awarded a participant their points or US Dollars, you can click the Fulfill button.
After you fulfill the reward, the console will make note of when the reward was fulfilled and who reported the reward as fulfilled. You can find these updates in the Status column of the rewards page. This status will update on the group's reward page, as well as on the participant's individual reward page.
Here, you can also select Won't Fulfill. This gives the study team the chance to refuse to fulfill participants' rewards for any reason. If you select this option, the status of the participant's reward will update on the group reward page and the individual's reward page.
